1. Who we are

These terms govern all bookings made with Consulate Club (Pty) Ltd, registration number 2026/369653/07, a South African company with its administrative office at 14th Floor, Touchstone House, 7 Bree Street, Cape Town City Centre, 8000 (referred to below as Consulate Club, we, us, or our).

By placing a seat hold, making any payment, or travelling with us, you accept these terms. If anything here is unclear, contact us before you book at travel@consulateclub.co.za or on WhatsApp at +27 69 377 6975.

2. What we provide

Consulate Club arranges curated small-group voyages, open to anyone who wants more from a trip. A voyage package includes the elements listed as included on the voyage page at the time of booking, such as return flights from Cape Town, accommodation with your own room, two meals daily, listed activities, ground transport, and concierge support, a trip photographer and an edited trip reel.

Anything listed as not included, such as travel insurance, visa fees, one meal a day, spending money, and optional activities, remains your responsibility.

3. Booking and payment

A seat is held with a deposit of R1 000, which is deducted from your total voyage price. Your booking is secured when a deposit of 50% of the voyage price has been received, and the balance is due by 1 October 2026 for the 19 October 2026 voyage. Bookings for the 19 October 2026 voyage close on 28 September 2026. Seat holds received after that date are accepted only if a seat is still available and there is enough time to ticket your flights.

Payments are made by card through Yoco (Visa, Mastercard, American Express, Apple Pay and Google Pay) or by EFT to the account details provided at checkout. EFT payments are confirmed once proof of payment has been received and the funds have reflected.

Prices are quoted per person, once off, and inclusive of the listed voyage elements. A seat is only confirmed once payment has reflected and we have confirmed it to you in writing (email or WhatsApp).

4. Travel finance

Travel finance is offered by Clear Capital, a registered credit provider, and not by Consulate Club. Any monthly amount shown in our marketing (for example "from R1 100 pm") is indicative only and depends on the term selected (12, 24 or 36 months), the interest rate offered and the amount financed, which may include spending money. All finance is subject to Clear Capital's credit assessment and approval. Applying for finance does not hold or secure a seat; a seat is only held once the R1 000 seat hold has been paid. If your application is declined, your seat hold remains refundable under clause 5. Your credit agreement is with Clear Capital and is governed by its own terms and the National Credit Act 34 of 2005. These terms continue to govern your voyage booking.

5. Cancellations and refunds

The R1 000 seat hold is refundable in full if the refund is requested within 7 days of the date it was paid. After 7 days the seat hold is non-refundable.

Of the 50% deposit, 25% is refundable. The remaining 75% is non-refundable, because flights, villas, and suppliers are booked and paid on your behalf once the deposit is received.

Balance payments are non-refundable once made.

Refunds are processed within 1 to 3 working days to the card or account the payment came from. If you cannot travel, you may transfer your seat under clause 6.

If Consulate Club cancels a voyage for any reason other than force majeure, you receive a full refund of everything you have paid us.

6. Seat transfers

Your seat may be transferred to another traveller before departure. Contact us and we will handle the paperwork. The replacement traveller must accept these terms and may carry costs charged by third parties, such as airline name-change fees.

7. Own-flights and international guests

Guests joining from outside South Africa, or who prefer to arrange their own flights, may book a land-only seat at a reduced price. Land-only guests are responsible for their own flights, for arriving at the meeting point within the arrival window we confirm in writing, and for their own onward travel after the voyage ends. Consulate Club is not responsible for delays, missed connections or costs arising from flights we did not book. All other terms apply to land-only guests in the same way.

8. Promotions and discounts

From time to time we offer promotional pricing or discounts, such as a discount for guests who book together. Promotions apply only as described at the time of booking, cannot be combined unless we say so in writing, and cannot be applied to a booking after it has been confirmed.

9. Travel documents and visas

You are responsible for holding a valid passport (with at least six months validity and sufficient blank pages), any required visas, and any health documentation required for the destination. We assist with guidance and with the digital arrival card, but the responsibility for valid documents rests with you.

South African passport holders currently obtain a visa on arrival in Bali at their own cost (approximately R550, about 600,000 IDR). Requirements can change without notice; we will keep you informed of what we know, but you should verify requirements before departure.

10. Travel insurance

Comprehensive travel insurance is a mandatory condition of travelling with us. It is not included in the voyage price. We can connect you with a trusted provider. You travel uninsured at your own risk, and we may decline boarding to a traveller without proof of insurance.

11. Health, fitness, and conduct

Activities are optional and offered at a range of intensities. You are responsible for knowing your own limits and for disclosing any medical condition that could affect your safety on the voyage.

We reserve the right to remove a traveller from a voyage, without refund, where their conduct endangers themselves or others, is unlawful, or materially disrupts the group. We expect the standard you would expect of the person next to you.

12. Itinerary changes

Weather, suppliers, and local conditions can force changes. We may substitute activities, accommodation, or scheduling with alternatives of comparable standard. Where a material element cannot be delivered and no comparable alternative exists, we will offer a fair partial refund for that element.

13. Liability

We arrange services delivered by third parties, including airlines, villas, restaurants, and activity operators, and we choose them with care. To the extent permitted by South African law, including the Consumer Protection Act 68 of 2008, we are not liable for loss or damage caused by those third parties, by force majeure, or by circumstances beyond our reasonable control.

Nothing in these terms excludes liability that cannot lawfully be excluded, including liability for gross negligence.

14. Photography and media

A trip photographer travels with the group. Usage of images in which you appear is guest-controlled: we will not use identifiable images of you in marketing without your consent, and you may withdraw consent at any time by writing to travel@consulateclub.co.za.

15. Availability statements

Where we describe a voyage as likely to sell out, or say that only a few seats remain, that statement is an honest estimate based on our booking data at the time, not a guarantee. It is based on our own booking and enquiry data: the fixed group size of eight seats, the rate at which seats on comparable departures have been taken up, the volume of active enquiries and held seats at the time of writing, and the lead time remaining before departure.

Because it is a forecast, it can be wrong in either direction. A voyage may sell out sooner than expected, or seats may remain available closer to departure. The statement is not a pressure tactic and creates no obligation on you; your seat is only ever secured once a payment is received and confirmed by us in writing, and your refund rights in clause 4 are unaffected by it.

16. Law and disputes

These terms are governed by the law of the Republic of South Africa. We would rather resolve a problem over a phone call than in a courtroom, so raise any issue with us first. Failing resolution, disputes fall under the jurisdiction of the South African courts.
