1. Introduction

This policy explains how Consulate Club (Pty) Ltd (registration 2026/369653/07) collects, uses, stores and protects your personal information, in line with the Protection of Personal Information Act 4 of 2013 (POPIA).

Our approach is simple: we collect as little as we need, we never sell your information, and a human answers when you ask about it. Reach us at travel@consulateclub.co.za or on WhatsApp at +27 69 377 6975.

2. What we collect

Booking information: your name, contact details, passport details, dietary requirements and emergency contact, collected when you reserve a seat.

Health information: only what you choose to disclose, with your consent, so we can keep you safe during activities.

Payment references: for EFT reconciliation. We do not store card details.

Mailing list: your email address, if you join our list.

Website: basic technical information limited to what the site needs to function.

3. Why we collect it

To operate your voyage: flights, villas, transfers, activities, airport meet and travel document assistance.

To communicate with you before, during and after a voyage.

To send you the updates you signed up for. You can leave the list at any time via the unsubscribe link or by writing to us.

To meet our legal obligations, including financial record-keeping.

4. Who we share it with

Only the suppliers who deliver your voyage, and only what each needs: airlines receive passenger details, villas receive rooming details, activity operators receive names and relevant health disclosures.

If you apply for travel finance, your application details go to Clear Capital (Pty) Ltd, a registered credit provider (NCR), with your knowledge.

We never sell or rent personal information. To anyone.

5. Cross-border transfers

Delivering a voyage in Indonesia means transferring limited personal information to suppliers outside South Africa. We share only what is necessary, with suppliers who protect it under their own laws or by agreement with us, as POPIA requires.

6. Photography

Our trip photographer documents every voyage. You decide what identifiable footage of you gets used. Marketing use happens only with your consent, and you may withdraw that consent at any time. Withdrawal does not affect images already lawfully published, but we will remove them from our own channels on request wherever reasonably possible.

7. Security and retention

We protect personal information with appropriate technical and organisational measures and restrict access to those who need it. Booking records are kept for five years to meet financial and legal obligations, then deleted or anonymised. Mailing list details are kept until you unsubscribe.

8. Your rights

Under POPIA you may ask what we hold about you, have it corrected or deleted, object to processing, and withdraw consent. Write to travel@consulateclub.co.za and we will respond within 30 days at most.

Our Information Officer is Wade Will (wade@consulateclub.co.za).

If you believe we have mishandled your information, you may complain to the Information Regulator (South Africa): JD House, 27 Stiemens Street, Braamfontein, Johannesburg, 2001, or enquiries@inforegulator.org.za.

9. Cookies and analytics

Our website uses only what it needs to function. We do not run invasive tracking. If this changes, this policy will be updated and the change noted here.

10. Changes to this policy

We may update this policy from time to time. The effective date above shows when it last changed. Material changes will be communicated to the mailing list.
